Abstract:
Florida State University (FSU) implemented the PeopleSoft Approval Workflow Engine (AWE) on pages to deliver automated E-Forms and workflows to day-to-day business processes. Since the project has started on year 2019, near 20 e-forms are built on Campus Solutions and HCM. It made significant efficiency during the pandemic. It benefits students, staffs, and even parents/delegates. This presentation will show you how we implement the PeopleSoft AWE to pages, how we build our AWE admin page to manage all E-Forms for approvers and demonstrate the process.

Abstract:
The University of Arizona replaced a third-party timekeeping service with a custom Fluid webclock kiosk in PeopleSoft HCM. The Webclock Kiosk uses a computer or tablet logged into PeopleSoft HCM and a card reader to allow employees that are punch time reporters to swipe their employee ID card to punch in or out. A configuration page is used to set up and customize each individual Kiosk. Each Kiosk can be given a unique name and will only allow employees in a particular department to utilize it. Once the Kiosk is set up, a department administrator will log into PeopleSoft HCM with the Kiosk User ID and password provided for their department. The Kiosk will stay active as long as the computer or table is active, no need to constantly log into PeopleSoft HCM.

GraphQL is a query language for your API. Florida State University (FSU) is using GraphQL on Web API to get exact needed data from 3rd parties on PeopleSoft Campus Solutions. This presentation will introduce what GraphQL is, how to use GraphQL to find what data can be found and how to get exact needed data from multiple data sources in one single API call, how to update data with GraphQL, and how to use GraphQL in web API on PeopleSoft Campus Solutions.

I have used Slate as our CRM for two institutions. One was a smaller school who had both the undergraduate and graduate school (in one instance!) and would love to tell you about how we did that and the interfaces needed to PeopleSoft.

Given the increase in attacks on Higher Ed over the past few years University of Colorado leadership directed University information systems to assess our ability to patch our PeopleSoft environments within 7 days. This story is about why we did that, how we got there. This made us focus on improving 3 key components business justification(why), technology(how) and process improvements(how). We were able to get down the CPU patching timeline from 10 to14 days to 4 days.

This session helps to understand Real time Indexing in Peoplesoft. The agenda includes RTI architecture, delivered RTI supported by Peoplesoft, enabling RTI for custom search definition, enabling suggestion search RTI(Recent menu and Recent keyword), maintenance process, migration and a demo which shows how RTI works for a custom built Kibana dashboard.

Abstract:
A lot of times Human Resources staff have to deal with an enormous volume of tasks that vary from recruitment and selection to performance management and administrative responsibilities. To save time, lower costs and prevent errors, the implementation of Robotic Process Automation (RPA) is a great option. How does it work? A powerful recorder builds automation by watching users work while a rich library of best-practice templates gets moving quickly and easily. Use case 1: THE AUTOMATION OF SOCIAL MEDIA SCAVENGING One of the important steps in the hiring process is the reference verification. One tool the verification team uses to validate the background is Social Media Scavenging. RPA will gather the information about the candidate and then scan for a matching profile in Social Media platforms, collect their information and make the summary available for the reference checking team. Use case 2: Automation on invoice reading and approvals Reading hand written PDFs or invoice approval forms(in PS Financials) is a time consuming process. With RPA’s AI capabilities, bots can read the PDF files which are submitted for approvals and automatically approve the transaction. Use case 3: New user Account validation Registration page can be customized to accept ID documents and RPA can help validate such external accounts using AI computer vision techniques thereby validating the profile. Such validated profile can be displayed to hiring managers/recruiters. Use case 4: Automation of multiple processes triggered manually. In Peoplesoft Financials, One use case is to automate Pay cycle process where user had to trigger three different process in two related components. Use case 5: File transfers RPAs are really efficient in file transfers without the need to develop integration between two systems. Use case 6: creating test data/data entry RPA can be used to create test data based on a template or copying data from 3rd party systems

Abstract:
The Kentucky Community and Technical College System (KCTCS) participates in a state funded Ready to Work (RTW) program that allows for students to work for external businesses. Obtaining timesheet approvals from external supervisors has historically been a manual and tedious processes. The new RTW timesheet process allows non-KCTCS external supervisors, without security access to PeopleSoft HCM, to approve timesheets electronically. After RTW participants submit hours worked in time and labor, a workflow step sends an email with an embedded link to the external supervisor’s email. This link allows for non-KCTCS users to access and approve the timesheet electronically. This process has streamlined the time collection process significantly for this group.

Florida State University (FSU) upgraded PeopleSoft Campus Solutions to PeopleTools 8.59 and did some research on delivered Global Search Definitions, such as Menu Search, Keyword Search, Class Search, etc. This presentation will share what we learned from the research, include get familiar with Search Admin Activity Guide and Search Designer Activity Guide, configuration of delivered Global Search Definitions, Realtime Indexing, and lessons learned from the study.
