This presentation will provide an overview of the automated security provisioning and de-provisioning process at the University of Calgary, known as PSAR (PeopleSoft Access Request). I will walk through how PSAR streamlines the user access lifecycle by handling complex employee relationships and integrating security approval workflows. This automation reduces manual effort, enhances audit readiness, and minimizes access-related risks. Attendees will learn about the key components of PSAR and how it supports compliance with role-based access control policies. PSAR is built using native PeopleSoft capabilities, primarily the Approval Workflow Engine, with some custom development work and no third-party integrations. It is created within the PeopleSoft HCM application to leverage reporting-to relationships and to handle cases where staff hold multiple jobs, ensuring the correct security is applied to each job. The custom work includes SQL definitions that identify current active jobs, upcoming jobs, and job transfers, add or remove roles, signals for refresh scripts to lock or unlock users in non-prod environments and provision the appropriate security in PROD and NON-PROD environments. This session will benefit PeopleSoft administrators, security analysts, functional leads, and audit/compliance stakeholders involved in managing or overseeing user access. By the end of the presentation, attendees will understand how PSAR can enhance operational efficiency, increase visibility into access changes, enforce consistent security policies across the ERP system, and support ongoing compliance with audit requirements.
