Learn from Brigham Young University's experience maintaining PeopleSoft Campus Solutions as we migrated HR and Finance to the Cloud. We implemented a backfill strategy at the start to support PeopleSoft which allowed our internal PeopleSoft team to focus on the new Cloud implementation. We prepared BYU staff to support the changes to the HR and Finance system while a PeopleSoft managed service provider operated PeopleSoft day-to-day. UF Health Jacksonville embarked on a transformative journey three years ago, integrating PeopleSoft FSCM ERP with Oracle Analytics to enhance operational efficiency. Powers Health looked for a solution to manage employment contracts that have continuing medical education (CME) or other limits for reimbursements. When we couldn’t identify a delivered approach in our PeopleSoft HCM or FSCM system we built a few custom pages and linked the customization with the Travel & Expense module. This improvement moved us away from manual excel tracking and into an auditable system that will cap the expense reimbursements at the contract limits. Tired of updating withholding paper or pdf forms? Or manually assigning localities for Ohio, Pennsylvania or other state localities? And, how do you pay employees for their work when they don't even come to work? In the past 10 years, online withholding forms and remote working have become more and more common. When employees only worked in a few specific locations, it was easy to setup those locations in PeopleSoft with its core features (including its tax requirements) and maintain that location for all the employee’s that worked there. But in the new remote working world (especially with COVID), employees are now working most of their hours from home, which may be in other states and with new tax localities. State tax revenue offices have become more aware of this trend and have been more aggressive about getting those employees or employers to pony up any work location taxes in addition to any resident taxes the employee should be paying. But this can be a maintenance and compliance nightmare for a payroll and tax department. Especially for states like Pennsylvania which have work tax codes in the thousands. Ensuring that the correct codes are assigned to an employee’s work and resident location(s) is challenging but we’ll show you how. This session is CPE Eligible- NASBA & SHRM Eligible
Okay that title is a bit clickbait-y, but bear with me here. Innovating in the enterprise space is a lot like gardening. To succeed at using technology in new and creative ways to address your organization’s unique needs, you need to purchase some supplies (allocate some budget), clear some space (in your project calendar), impose some order (standardize your tools and methodologies and prioritize your efforts), and consistently tend it from planting through harvest (launch through production and support). And where do thorns and death-copters come into the analogy, you ask? Thorns are the prickly distractions, like PUMs and Tools releases and hardware updates and OS patches and year-ends and quarter-ends and semester rushes and holidays, that make it hard to keep your shop afloat, much less innovating. And when a multi-year SaaS re-platforming project (a “digital transformation”) darkens the sky above your humble attempts to make life better for your users, that is like defending tender tomato sprouts against a swarm of napalm-spewing gunships. In this session we’ll consider the value of growing and maintaining a culture of innovation for your enterprise systems; shifting gears from reactive, where you only address the shoutiest pain points, to a proactive, “center of excellence” approach that searches out use cases for your tech tool portfolio and consistently grows new solutions. The College of the Holy Cross has been brainstorming and building over the past couple of years, stretching the boundaries of how we’re using our PeopleSoft systems. One of our more intriguing projects has been the automation of Language Placement Exams for our students using GT eForms. We created 8 eForms – one for each language the College offers – that administer online placement exams and auto-enroll students in language courses based on their scores. Depending on the student’s particular use case and requirements, the forms include options to administer an exam, have the student respond to questions about their background with a specific language, or upload an essay/video attachment to demonstrate their knowledge of the language. Regardless of whether you’re using PeopleSoft Campus Solutions, our session will give you some food-for-thought into the kinds of automated solutions you can explore with eForms including performance evaluations, employee and supplier onboarding, and other logic-driven, multi-step processes. Features of our form that we’ll discuss and demo include logic to determine which action(s) to offer the student, a built-in timer that governs the amount of time that the user can interact with the form session, calculation of exam scores based on user responses, email notifications with data results, and automatic updates to PeopleSoft. Like many other healthcare providers, Sarasota Memorial Healthcare (SMH) has had challenges with the business process of tracking “Bill Only” and “Bill and Replace” for implant and other surgical materials where we are billed when the device is used in surgery. Over the years, we’ve developed different processes within different groups, and have developed workarounds and offline process to keep track of all the different nuances in requisitions, purchase orders, receipts, and invoicing. With the introduction of eProcurement’s “Bill Only” and “Bill and Replace”, we worked with Oracle to understand the new process, and as a result, we’ve re-examined our business process from top to bottom to adapt, streamline, and standardize existing processes to take advantage of the new functionality. We’ll share our how our “Bill Only” and “Bill and Replace” process has changed for the better, how we’ve adapted to “bumps in the road”, and how we’ve benefited from working closely with Oracle on this key business process. Gideon Taylor eForms for PeopleSoft allow functional users to create forms with minimal assistance from technical resources. The City of Albuquerque has used GT eForms since 2022 in both HCM and FSCM. We have created forms to streamline P-card management, initiate employee transfers and request new grant setup. GT eForms allows our functional team to create high quality forms, often with minimal input from our technical team. However, it is complex software with a definite learning curve. Many use cases require heavy technical assistance. For example, we have forms that execute a component interface on Approval. We’ve also had to create views to pull in data from other systems. We really like the product and want to share our experience with other entities. Our presentation targets organizations that have already implemented GT eForms or are in the process of doing so. We will not be demonstrating the product or reviewing the feature set. Six (6) new tiles are delivered for all your administrative needs and different employee types. A new Search Match is offered, using common fields such as National ID, Birth Date, and Name are enabled to search prior to adding a new person. This helps in preventing duplicates within your system. HCM System generates the accounting lines for payrolls processed and send it to financial systems to load the data into the respective Financial Systems. If a Financial department user wants to update/adjust the Funding/Expense information for already generated Journals, user will use the Salary Cost Transfer (SCT) tool in HCM system. Delivered PeopleSoft does not have a tool to perform the SCT’s with complex requirements needed to adjust the expenses on the Restricted Funds (Federal grants) like NIH (National Institutes of Health) and HHS (Department of Health & Human Services). As a higher education organization deals with Multiple Contracts & Grants for the salary transactions that are sensible on spending limits and reporting out the information in a timely manner, it could be challenging for the fund administrators and staff to calculate the spending limits accurately. To alleviate the issue an Automated Cost Transfer tool is built which helps users to accurately calculate the Contracts & Grants spending limits. The tool is built on the PeopleSoft/People tools framework.
