At Baylor, our previous staff hiring process was conducted outside the system using PDF forms and email communication. This approach led to challenges with tracking and required duplicative data entry once the requisition was ready to be created. We have since transitioned to using an in-system, out-of-the-box transaction called “Request a Position Change.” This transaction provides a single point of entry for hiring managers, and the configured system workflow allows for review and edits by all necessary parties before the requisition is posted. To configure this transaction, we utilized Approval Workflows, DFFs, and Transaction Design Studio. The process is currently available in the responsive UI, and we are actively transitioning it to the Redwood UI.

Focus: A practical decision framework for matching the right automation or intelligence technology to a business use case. Why it fits: Helps organizations avoid over-engineering and choose the most cost-effective approach. With so many emerging technologies in automation and intelligence, choosing the right solution for a business problem can be challenging. This session offers a practical decision framework to help organizations evaluate when to use RPA, traditional AI, Generative AI, or Agentic AI — based on complexity, cost, and expected business value. We’ll explore how to start from a clearly defined problem statement, align initiatives with ROI and measurable outcomes, and then progress toward solution design, system architecture, and security considerations. The discussion will also highlight how to engage vendors or internal teams effectively to accelerate implementation while maintaining governance and value alignment. Learning Objectives: By the end of this session, attendees will learn how to: 1. Identify and document the right business problem statement for AI-driven initiatives. 2. Differentiate between RPA, AI, GenAI, and Agentic AI based on complexity and business impact. 3. Develop a value-driven framework for technology selection tied to ROI and operational efficiency.
