Using the Page and Field Configurator to Track User Changes

The Page and Field Configurator (PFC) has seen exciting enhancements, including the ability to track user changes and upcoming functionality for search pages and prompts. These updates, driven by customer feedback, are expected to significantly improve usability and efficiency for PeopleSoft users.

Overview of Page and Field Configurator

The PFC offers three key types of configuration:

  1. Standard Configuration: This is widely used to reduce customizations. It allows you to change labels, hide or disable fields, set default or blank values, and require field entry.
  2. Data Masking: This feature lets you mask sensitive information on component pages, search pages, and prompts. PFC administrators can control which information to display or hide using asterisks or other characters.
  3. Change Tracking (Newest): This recently introduced capability tracks specific changes made to fields or pages based on user actions. It’s currently available on FSCM (48), HCM (47), ELM (23), and Campus (30).

New Change Tracking Feature

Change Tracking is designed for selective tracking of key information, complementing but not replacing PeopleTools Auditing. It enables:

  • Field and role-based criteria for tracking.
  • User-friendly online history views of changes, with the option to add comments and attachments for additional context.

Use Cases for Change Tracking

  • Who updated the banking account information, and when?
  • What changes have been made to funding details?
  • Who set a project status to closed?

This eliminates the need to sift through audit logs by offering intuitive reporting tools.

Advantages Over Auditing

  • Tracks specific scenarios instead of all changes.
  • Managed by power users without requiring App Designer.
  • Includes detailed change logs:
    • Field name and label.
    • Previous and new values.
    • Date, time, and user who made the change.
    • Mode of change (e.g., add, update, correction).
    • Associated comments and attachments.

Change Tracking Data Structure

The change tracking feature is built for flexibility and scalability. Each component is assigned to a default table group, which can be adjusted based on user needs.
The structure includes:

  • A header table with component names and search keys.
  • A detail table capturing the specifics of changes.
  • Additional tables for attachments, archiving, and internal processing.

For HCM alone, there are 144 default product IDs assigned to appropriate groupings and pillars.

Change Tracking Analytics (Coming Soon)

An upcoming enhancement will introduce a dashboard for analyzing tracked changes at a high level, eliminating the need for PS Query.

Updates to Search Pages & Prompts

The enhanced search pages and prompts will align labels with component pages, while allowing you to:

  • Hide fields.
  • Disable entry.
  • Require entry for specific fields.
  • Set default values.

These changes can be applied using role-based criteria, ensuring tailored search experiences for different user groups.
