Evergy’s Innovator Award Winning Combination of PeopleTools for Reporting

Evergy, a merger of Kansas City Power & Light and Westar Energy, presented at RECONNECT 18 about their four-step combination of PeopleSoft features that allowed them to pull together workflow approval statuses across various workflows. It allowed them to access journals, requisitions, purchase orders and vouchers all in one report. This four-step approach, developed on release 9.2 with PeopleTools 8.54, won a PeopleSoft Innovator Award.

The goals of this approach were to create one report that showed all five pending workflow approvals in a visual, easy to comprehend PeopleSoft view and to also provide workflow statuses (current, coming due and past due), instead of only just total counts.

Check out the process they developed to help achieve these goals!

Step 1: Create an Application Engine (AE) program.

The AE job runs all five of the SQL statements that are pulling pending workflow approvals. It also determines the status of each workflow stream in the SQL statement. At this point, criteria are established to determine when a status should be current, coming due or past due. The AE job will write the results of each SQL statement into one custom summary workflow reporting table.

Step 2: Create a query.

This query will pull in three tables—the Workflow Summary (created in Step 1), Operator Definition and Personal Data.

Step 3: Create a Pivot Grid.

With Pivot Grid Wizard, you’ll name your Pivot Grid, select a data source (which will be the query you created in Step 2), specify data model values and options for axis information and filters and how you want the Pivot Grid displayed.

Step 4: Put the Pivot Grid in a pagelet

With Pagelet Wizard, you’ll create a title, select a data source (the Pivot Grid you created in Step 3), specify data source parameters, select a display format and options and then specify publishing options. Within the publishing options, you can choose where to publish the pagelet so you can find it later and add it to a homepage.

The Advantages

Some of the advantages of this approach include: near real-time reporting, having all workflows pulled together in one report, a visual and easy to understand format, the ability to filter features in a Pivot Grid, drill down into results and the ability to drag and drop.
