Basics of ACH, setup and use in JDE

Abstract:

This session will cover a little bit about what ACH is and provide a step-by-step setup in JDE including examples using CTX format. It will also cover how to trigger ACH file generation for upload and processing. This is presented by Lisa Tran who works for manufacturer Stoner, Inc. She has used and configured JDE for 20+ years. She has migrated from XE to 8.10 to 9.2. As a member of the IT support team, she works with all aspects of JDE including programming, support and user training as well as supporting all of Stoner’s manufacturing activities.

We will see a ‘day in the life’ of a CNC. First, the JDE software provides a multitude of tools to take care of daily processes and issues as well as troubleshooting, upgrade tools. .A CNC must know how to communicate with Vendors, their own company community – their customers, so other corporate tools are also discussed.

Objectives:

  • To understand the tools of the trade and where to find them.
  • To understand the responsibilities of the CNC and where to sketch the line between developer, infrastructure and CNC duties. A CNC wears many hats and must have an understanding of who does what and boundaries of what needs be regulated.
  • A CNC admin must know when to communicate and how and when to be silent and listen. They need to know how to say the right words to the right people so that everyone knows what is expected.

This gives manufacturing the ability to confirm the physical material brought to them has been moved in JD Edwards as well.

In an effort to be compliant with OSHA Covid requirements we elected to utilize Supplemental Data that allows flexibility in record design with validation to the Employee Master. Standardly the Supplemental Data application is connected to many of the existing applications throughout the HCM Module.

Our industry has a large volume of employees that process through the stages of employment very frequently. This resulted in multiple ways of collecting this information from different HCM Departments within our company. Since the data is needed across the company for real-time reporting a way to quickly create records in Supplemental Data was identified to be needed instead of entering one record at a time.

Objectives:

  • In this presentation we will demonstrate how we are currently tracking vaccinations inside of JDE-e1 supplemental data and the tools created to upload records in large quantities.
  • The attendees will learn how to create new supplemental data codes and create records with the standard application. We will then explore the custom tools that were developed, enabling us to import thousands of records at a time and automating the process
  • In addition to these focal points, we will discuss issues that we overcame and provide examples of other data we are utilizing supplemental data for.

Growing Pains: What to Do When It’s Time to Archive

The State of Kansas conducted its first-ever archive of PeopleSoft Financials data across 14 modules. We leveraged the delivered PeopleSoft Data Archive Manager while also developing custom processes to address gaps. We balanced many considerations including state record retention requirements, system performance and storage costs. We developed a complex schedule to archive data in the appropriate order to ensure no transactions were left incomplete/orphaned and to execute the archive processes during off-hours to not interfere with the end user experience.

Objectives:

  • Educate attendees on the basics of the delivered PeopleSoft Data Archive Manager functionality.
  • Discuss gaps in delivered functionality and how the State of Kansas addressed them – both by working with Oracle to fix bugs and by creating custom functionality.
  • Share the process we went through to identify what order to archive data in. This was highly complex due to the number of modules State of Kansas uses.

Abstract:

With an ever growing telework presence across a large geographic area, The Kentucky Community and Technical College System recognized the need to streamline the paper process utilized to approve faculty overloads and submit them to payroll for payment. In a joint effort the Technology Solutions, Human Resources and Payroll departments worked cooperatively to develop a robust electronic form within the existing ERP system PeopleSoft. The new electronic form allows for a restricted group of end users to submit request electronically and then the request flows through a series of required and custom electronic approvers. The form has intelligence built in to help prevent errors and allows for payroll to upload payments directly into the payroll system. The new electronic form has decreased time required for approval and data processing, it has increased accuracy and improved reporting capabilities.

US Senate Reduced Pay Processing by 75% Using PeopleSoft SMART HR Functionality

Abstract:

Background – The United States Senate is comprised of multiple organizations. Not only are there Senator offices, but also committee and other administrative entities to support the functions of the Senate. The Bart/MIPRO team first worked with the Senate Disbursing (Payroll) group to go live on Oracle PeopleSoft HCM and North American Payroll. Years later, our team helped expand HCM/HRIS functionality to the Senate Sergeant at Arms (SAA) HR organization to include SMART HR processing, Position Management, Workcenters, Leave and Person Profile modules. Bart/MIPRO designed specific SMART HR functionality to allow SAA HR to electronically submit Department, Jobcode, and Pay Changes to Disbursing, which owns Job Data at the US Senate. Senate rules, policy, and procedures make processing large numbers of pay-related transactions very time consuming.
Bart/MIPRO Solution – To reduce SAA HR’s semi-monthly and semi-annual burdens of creating and submitting large numbers of pay-related transactions (corrections, retros, merits, bonuses), Bart/MIPRO designed and constructed a custom Rapid Pay solution using advanced PeopleTool App Designer techniques. This unique design incorporates existing SMART HR functionality and a new front end to provide for spreadsheet upload and rapid pay transaction entry. Users now can key in pay specific transactions either to spreadsheet or to online page without having to do directly into their custom HRIS Job Information page that requires additional non-pay data entry and edits. This new bulk-processing solution has reduced SAA HR Pay transaction system processing by an estimated 50-75%. The solution uses App Package, App Engine, Component Interface, BI Publisher, Approvals, Worklists to bolster the existing HRIS design without discounting the Senate’s previous HRIS investment.

  • To share how other PeopleSoft HCM Payroll users can improve pay transaction process times by using some of the same tools and techniques used for the US Senate.
  • To highlight some of the newest functionality in PeopleSoft including SMART HR processing, Position Management, Workcenters, Leave and Person Profile modules.
  • To demonstrate how some of the new PeopleTools solutions, including App Package, App Engine, Component Interface, BI Publisher, Approvals, Worklists can be used.

Payroll Shared Services

The Kentucky Community and Technical College System (KCTCS) recently transitioned to a Payroll Shared Services (PSS) environment by taking advantage of key functionality within Payroll for North America in PeopleSoft HCM 9.2. The PSS staff provides all payroll administration in one central unit for 16 different Community and Technical colleges across the state of Kentucky. Work and leave time is collected and administrated electronically through PeopleSoft Time and Labor, which helps to ensure critical compliance with both regulatory agencies and policy and procedures. Taxes are managed centrally by utilizing tax location codes within the job data screen. PeopleSoft Fluid Employee Self Service is configured to allow employees a dashboard view of key payroll, leave, tax, and direct deposit information. Several PeopleSoft audits have been put in place to ensure accuracy of data and allows for the central payroll staff to focus on critical exceptions. Additional efficiencies have been gained by developing electronic forms and processes for overloads and additional payments. Multi-factor Authentication has also been enabled to allow for direct deposit self-service changes.

  • The basics of a shared services platform and how KCTCS moved from a partially decentralized to fully centralized payroll process.
  • Methods of allowing for subject matter experts within a centralized payroll unit. KCTCS broke its centralized payroll unit into three areas of concentration: Tax Administration, Time and Labor, and Payroll Processing.

The upgrades have a lot of manual steps, take time to apply non-vanilla customisations and configuration files and involve a lot of manual IT and end user testing and of course involve change freezes which limit the team’s ability to deliver value add solutions.

StoneX selected Oracle Planning Cloud as the centralized platform to support global financial planning processes. While the initial scope was to use it for specific entities that were already on a common platform, the efficiencies gained by adopting Oracle Planning everywhere became readily apparent. In a span of few months, StoneX successfully pivoted to onboarding the budget process for all their global business entities into Planning, while also providing budgeting and reporting capabilities that were never readily available before across the enterprise. With the help of Oracle Planning, StoneX was effectively able to create an enterprise standard for preparing, reviewing and presenting corporate budget in around 3 months’ time, across global entities, while using multiple currencies. This included providing an enterprise wide process to input and perform a timely review of workforce, financial and capex budgets using a centralized platform, use driver-based allocations to budget for some accounts/entities and deliver timely financial reports using SmartView for Office, as well as for executive presentations.
