Apparao Kandru from IMMI spoke at COLLABORATE 19 about how the company achieved HR operational excellence by leveraging Oracle HCM Cloud.
Are you ready to trade in handwritten paper processes for a modern and digital HRIS? Could operations systems work as smoothly and effectively as the latest seatbelts? When IMMI leaders began seeking improvements in their global operations, HCM Cloud clicked into place.
About IMMI
IMMI, originally called Indiana Mills and Manufacturing, Inc., is an industry leader in safety systems for highway and off-highway automobiles. In 2018, employees at IMMI decided that they have had enough of slow-moving, approval-heavy, manual systems.
For almost 60 years, IMMI has been saving lives through breakthroughs in safety. The company is an industry leader in the design, testing, and manufacturing of advanced safety systems. As employees produce seat belts, airbag systems, five-point harnesses for car seats, and off-highway restraints, they are fueling innovation, saving lives, and moving safety forward.
In its lifetime, this privately held business has grown from one location in Westfield, Indiana, to eight global locations throughout the U.S., Mexico, U.K., Italy, Slovakia, and China.
Why the Need for Change?
IMMI was facing several key business drivers that made it necessary to make a change in their systems, including:
- A dynamic and ever-changing business
- Volatility in volumes
- Acquiring talent—need a faster workforce
- Global plants
- Need to make it easy to manage
- Need to improve hiring and operating to budget
- Tactical elements
- Need to eliminate dual entry into HR and Recruit
- Approvals
- Changing workforce
- More millennials
- Recruiting metrics
With this massive increase in customer and operations growth, IMMI realized the need for a revamp of its internal systems. After continually growing over the last nearly 60 years, company leaders knew that HR operational efficiency had to increase in order to continue functioning profitably.
Company leaders decided to pursue an agile HR system that could adapt to changing labor counts and increase transparency on whether or not goals were attainable at each location. IMMI’s eight global locations and volatile workforce requirements made business decisions difficult, so decision-makers found HCM Cloud to increase transparency with real-time organization charts and location-based headcounts.
With the hopes of the Cloud effectively supporting the dynamic company, leaders made an implementation plan and set corporate objectives for 2018.
IMMI’s Goals for HR Operational Excellence in 2018
Leaders at IMMI set several goals for the company to achieve in 2018 with the new solution in mind, including:
- Complete Phase 1 of the three-phase, five-year journey
- Decrease YOY customer complaints by 30 percent
- Achieve on-time delivery greater than 98 percent
- Pursue excellence at the HR and supply chain ground level by Q4 2018
Phases of Moving to Oracle HCM Cloud
Dealing with globally distributed plants causes struggles in workforce deployment and makes it difficult to access real-time organizational structure or headcounts by locations. Before MyHR, IMMI leaders wondered how to right-size locations for revenue goals, and they wanted to increase efficiencies through digital processes, fewer hands-on transactions, mobile access for leaders, and trustworthy security.
From January 2002 to 2018, IMMI used Oracle E-Business Suite (EBS) R12.13. Beginning in Q3 and Q4 of 2018, the team began Workforce Deployment 1 for OTAC & Core HR. During Q3 and Q4 of 2019, they plan to undergo Workforce Deployment 2, which will include Time & Absence. In the following year, IMMI will roll out Performance, Talent & Career, and Workforce Development. Lastly, in 2021, they will complete the transition with Workforce Forecasting Prediction.
Benefits of Focusing on HR Operational Excellence
When leaders sat down to discuss their system needs, they defined five essentials. By investing in their operations systems, the IMMI team predicted a major value return through:
- Improved user experience—allowing faster business decisions through access to headcounts and employee information
- Ability to track safety incidents and reduce lost work time
- Ease in tracking formal complaints and products that must be reworked
- Clear-cut measurements in cost and on-time delivery
- More efficient time management and performance reviews for supervisors
In order to achieve operational excellence, organizations need to have processes that are effective and efficient in delivering value. The goal is to be the best in your industry. To do so, it’s important to operate better, faster, and cheaper. This means having better processes that are easy to use and provide a better user experience. You’ll also need faster business decisions and faster access to headcounts and employee information. Finally, you’ll need to find a way that makes it cheaper for your company to operate. All of these components led IMMI to Oracle HCM Cloud.
Benefits of Oracle HCM Cloud
IMMI leaders selected Oracle HCM Cloud to solve business needs for a variety of reasons, including:
- The system supports growth and M&A at scale
- TCO is lowered since there is zero internal IT workload
- Rapid innovation means the value will continue to increase
- Complexity is reduced through upgrades and reporting is pushed to end users
- Systems are instantly mobile enabled
- The digital assistant is instantly enabled
- Partner applications and plug-ins enhance capabilities
Oracle HCM Cloud met many of the needs of the organization. IMMI found HCM Cloud to be a modern HRIS that works anytime, anywhere. It provides data quality through real-time organizational charts that make decisions easier. Additionally, mobile access for ESS and MSS, workflow automations, unstructured feedback, and personnel documents are available in an AOR secure system.
Advantages of MyHR
The dynamic nature of IMMI’s business means that there is volatility in the volumes of talent and a compressed recruiting cycle. HR leaders desired an easier way to hire and operate budgets in addition to eliminating dual entry and reducing approvals. The team wanted to stay relevant with a changing workforce and saw a need for recruiting metrics.
Implementing MyHR provided ease from stating the requirements of jobs all the way to eOffers. Approvals became automated, and Taleo data could be accessed easily. Furthermore, the broad bean plug-in assisted with job distribution, measurement, and OFCC.
Achieving HR Operational Excellence: From Outdated to Outperforming
When IMMI decided to move to HCM Cloud, employee management was a paper-based, handwritten system. These highly manual tasks involved batch processing, order issues, and slow-moving business.
Today, IMMI continues to advance in its HCM Cloud implementation. Users love the modern HRIS that works anytime, anywhere. The company benefits from improved data quality, which makes business decisions easier, and the mobile access appeases a steadily increasing millennial workforce. IMMI is proud to announce HR operational efficiency gained through leveraging HCM Cloud, improving service to customers, eliminating non-value adding processes, and increasing overall workforce effectiveness.
