Get Started with PeopleSoft HCM Onboarding

A recent Quest Global Day presentation from Prathibha Sastry, part of Oracle’s Product Management and Strategy team for PeopleSoft HCM, covered the basics of PeopleSoft HCM OnBoarding. The presentation went over reasons users should utilize PeopleSoft HCM OnBoarding, helpful features within the OnBoarding feature, and items that were on the roadmap for the future.

Reasons to Implement PeopleSoft HCM OnBoarding

The OnBoarding feature can be extremely beneficial to organizations, especially those who do not already have a standardized onboarding process. Some of the reasons that organizations should consider utilizing PeopleSoft HCM OnBoarding to streamline the process include:

  • Most organizations currently handle onboarding processes manually and often informally.
  • A majority of the time during onboarding is spent completing forms.
  • Compliance issues can occur, and documentation could be lost when handled manually.
  • Multiple departments are typically involved in onboarding, and without standardization, each department may handle onboarding differently.
  • There is no visibility into status tracking of the onboarding process when it is handled manually.
  • The manager and administrator cannot view the status or run analytics during a manual process.
  • It is a complicated process to find offboarding data after an employee termination if processes are not standardized.

Helpful Features

OnBoarding was released in HCM Image 23 and was enhanced in Image 25. The OnBoarding tile can be added to the Employee Self Service homepage, so employees can easily access the tasks that they need to complete. On the OnBoarding homepage, there is an OnBoarding Activities tile that contains dynamic information that changes over time as the employee moves through the steps of onboarding.

Once inside the OnBoarding Activities tile, an employee can see an Activity Guide that will walk them through the steps of onboarding. The steps are listed out on the left side, and the content of the selected step will be displayed on the right. You can easily configure steps that you want to include in the Activity Guide. You can also group steps, mark steps as required, or make them “dependent” steps that cannot be completed until other required steps are completed first.

Other helpful features within OnBoarding include the ability to embed videos in the Activity Guide pages, directly upload attachments, easily access necessary downloads, and utilize the Acknowledgement Framework to easily get employees to acknowledge and agree to Terms and Conditions. Additionally, a  summary at the end of the Activity Guide will show the user the status of each step, the completion date, and requirements. The user can also mark steps as complete or jump directly to a step from the summary page.

The manager view was delivered for OnBoarding in Image 24. Through the OnBoarding tile in Manager Self Service, a manager can view the status of each step within the onboarding process for their direct reports. They can also send reminders to employees who still need to complete steps.

Roadmap

The primary item on the roadmap for PeopleSoft HCM OnBoarding is the Administrator view. Much like the Manager view, the Administrator view will show the status of each step within an employee’s onboarding process. Depending on the access given, an Administrator could also mark steps as completed or delete them for an employee.

Other items on the roadmap for OnBoarding include ELM integration and Analytics. After OnBoarding, Oracle has plans to work on Off-Boarding, Pre-Boarding, and Trans-Boarding. Off-Boarding will include features like Employee Self Service Termination, an exit survey, manager activities, and a final paycheck. Pre-Boarding will deal with activities that need to be completed before an employee’s first day and work with PeopleSoft Recruiting. Trans-Boarding would handle internal movement like moving from one department to another.
