Managing disbursement rules in the Financial Aid module of PeopleSoft Campus Solutions can be complex, especially when exceptions must be made for individual student awards. At the University of Central Florida (UCF), we identified a critical need to streamline the override process for awards that meet exception criteria but fail standard authorization rules. These overrides are subject to federal and/or state audits, requiring a secure, transparent, and efficient tracking mechanism. This session will showcase UCF’s custom-built Authorization Override module within Campus Solutions, which replaced a previously external authorization override tracking system. The solution leverages the delivered file structure of STDNT_AWRD_DISB (Student Award Disbursements) and introduces a user-friendly interface and robust tracking features that have significantly improved operational efficiency and audit compliance. This presentation will benefit institutions seeking to improve their Financial Aid operations within Campus Solutions.

Optimizing Par Inventory

PeopleSoft provides excellent tools for Healthcare organizations to replenish Par Inventory. Through the use of the Inventory, Mobile Inventory, and Purchasing modules, PeopleSoft can replenish Par Inventory accurately and efficiently to planned inventory levels. Where PeopleSoft falls short is proving tools to assist organizations in setting the correct Replenishment Parameters for Par Inventory. PeopleSoft provides no system calculations for setting Optimal Order Quantity, Fixed Order Quantity, or Maximum Quantity. There is an Average Usage calculation, but it is not suitable for most organizations. In this session, we will explore how PeopleSoft can be enhanced to provide tools to assist in calculating proper Par Replenishment parameters and to automate the update of Par Location definitions based on these calculations. Additionally, we will look at how bolt-on Advanced Planning applications can be used to account for trending usage over time, seasonal variations, and one-time unique events.

The City of Calgary has been utilizing HCM tools and integrations with network account management services to automate the creation and deactivation of employee network and PeopleSoft accounts in HCM, CRM and IHUB for the past 10 years. This process took advantage of the approval tools, Integration broker, and dynamic role security functionality along with custom configuration pages to support the process. Recently, the process was updated to include contractors/external resources who require network accounts, eliminating the manually intensive, paper-based process between HR and IT for managing non-employee network account requests. The City revamped the business process, centralized the data into the PeopleSoft HCM, implemented manager and basic contractor self-service functionality, and incorporated this into the existing automated network account activation and deactivation process. The process within HCM is utilizing existing tools like Smart HR Templates for Managers, Dynamic Role security, Fluid Approvals, and a dedicated tile, navigation collection, and dashboard with Pivot Grid reports for the Non-employee Administrators. This presentation will highlight what was done with the recent changes and how The City took further advantage of delivered functionality and configuration tools, as well as the efficiencies gained between HR and IT since it was deployed.

To streamline this process, many institutions employ a simplified General Ledger (GL) accounting approach by estimating fringe costs and grouping employees into broadly defined fringe categories. This methodology enables more efficient budgeting and financial planning throughout the fiscal year. At year-end, actual expenses are reconciled against these estimates, and fringe rates are adjusted as needed to maintain accuracy. To achieve this, robust and efficient systems must be developed to ensure accounting accuracy and to meet service level agreements (SLAs) for the university’s largest expense. Easy customization is a PeopleSoft strength. PeopleSoft’s modification options have evolved over nearly 30 years. So has the modify / avoid modifications debate. Carefully implemented and well organized modifications can be a bonus to your organization. They satisfy business requirements and can be easy for your IT staff to maintain. But not all modifications are equal. Some methods are better than others. Traditional solutions can (and sometimes should) be avoided. The University of Minnesota uses a full suite of PeopleSoft ERP solutions – Campus Solutions, Finance, HRMS, and Interaction Hub. The University of Minnesota has never stopped modifying PeopleSoft. They annually update to the latest application release and update PeopleTools quarterly. That’s a lot of compare reports. They’ve meticulously tracked their modifications over the past dozen years since using PeopleSoft Update Manager (PUM). Learn how their statistics and analysis have directed what objects they modify and how they modify. I will walk through how PSAR streamlines the user access lifecycle by handling complex employee relationships and integrating security approval workflows. This automation reduces manual effort, enhances audit readiness, and minimizes access-related risks. Attendees will learn about the key components of PSAR and how it supports compliance with role-based access control policies. PSAR is built using native PeopleSoft capabilities, primarily the Approval Workflow Engine, with some custom development work and no third-party integrations. It is created within the PeopleSoft HCM application to leverage reporting-to relationships and to handle cases where staff hold multiple jobs, ensuring the correct security is applied to each job. The custom work includes SQL definitions that identify current active jobs, upcoming jobs, and job transfers, add or remove roles, signals for refresh scripts to lock or unlock users in non-prod environments and provision the appropriate security in PROD and NON-PROD environments. This session will benefit PeopleSoft administrators, security analysts, functional leads, and audit/compliance stakeholders involved in managing or overseeing user access. The management of PeopleSoft customization involves at first step – to be able to measure the extent of customizations we have in our estate. The customizations could be in objects residing within Application Designer and other objects outside it like SQRs, Cobols etc. We need to have a customization repository to track the extent of customization, why they were done, what value they added and to store metadata for them. This would help us track what customizations are strategic and what are the ones we could reduce/remove. In addition we must track the decisions taken at times of updates/upgrades/selective adoption – when encountering a customization – what was the decision taken – whether that customization was reapplied, whether it was retired, or whether it needed a rework to be kept customized. Time spent doing the actual retrofit should also be recorded to help rough order of magnitude for future upgrades/updates. In context of reducing the complexity – thankfully there are many tools available now like EMF, Dropzones, AE Pluggins, Page Field Configurator, Form Builders etc that help us move to configuring rather than customizations.
